Terms and Conditions for Applications
Public Liability
All participants of this event must have their own public liability. If you are accepted by the cooperative then you will need to make sure you have your own liability insurance as no one in the cooperative will be liable in any circumstances. The Artist/Designer will also need to make sure the venue has liability insurance.
There are organisations that offer cost-effective public liability insurance, such as Artists Newsletter or Artists Interaction and Representation etc.
Payments, cancellations and refunds
Payments of fees are required on application. There will be a small cost listed above to each artist/designer to enter the event that will cover printing, and publicity (including social media). We also have the cost of the website to fund. You will only be included on the map/leaflet plus the website on payment of the full fee before the date detailed.
A refund will be made to anyone not accepted to the Leek Open Studios – Meet the Maker event. Other refunds will be made at the discretion of the organisers and are dependent on which stage of the planning this decision has to be made. (For example, if money has already been paid out for printing etc then there may not be reserves in the bank to refund).
Data Protection
The data you provide is being collected for the sole purpose of organising and marketing events by Leek Open Studios organisers. It will be kept for as long as the event continues to be run unless you request your details to be removed.

Venues
Relating to Artists/Makers with Studios
• For Open Studios the studio space should be a working environment where you are able to demonstrate your skills to the public.
• Every artist/designer will need to organise their own studio/demonstration space. All venues need to be within the designated map area of central Leek. You can see the map we use here https://www.leekopenstudios.org/map/ Please get in touch if you have any questions about this. Each artist/designer will need to take responsibility for the health and safety of visitors to their space/studio.
* Group applications for Open Studios won’t be accepted. Groups may exhibit together in the same venue, however each artist must apply as an individual and will benefit from an individual listing on the map.
Relating to other venues
This year we are expanding from local studios to other public venues, such as the museum, pubs, cafes etc. . We will try to find suitable venues for each artist/maker, who is not in a local studio, but it may not be possible to house everyone. If we cannot accommodate you, we will refund your application fee in full.
Venues will be allocated to the artist/maker by the selection group, we will do our best to provide a suitable space, but it may not be possible in all cases. Participants may have requested specific requirements, such as use of tables, access to electricity etc. Although we will do our best, we cannot guarantee that these will be available, and it is the responsibility of artists and makers to contact venues in advance.
It is the responsibility of the artist/maker to liaise with the venue and the other artists about setting up, space allocation etc.
Once the venue has been allocated, You are advised prior to the event and contact details will be circulated to all participants at that venue so you can contact one another.
Please note: It is your responsibility to ensure the venue is left as clean and tidy as it was found and you may wish to consider this when planning your activities.
The Organisation and your support
This is a cooperative event between venues and artists, no one is on the payroll – please respect the organisers and if there’s something you think needs changing then please contact us
• The co-operative reserve the right to refuse an application.
• The cooperative reserve the right to withdraw the event should sufficient volunteers not be available.
• The cooperative reserve the right to postpone or cancel the event should it become necessary due to unforeseen circumstances.
Anyone can attend the committee meetings. We are informal. We currently rely on a core number of volunteers and the workload is growing. Even if you can only spare an hour please volunteer – the event is growing rapidly and we don’t want to wear the existing volunteers out.
Please remember that those on the committee are doing so in their spare time, they have careers, jobs, family commitments, businesses, art to make etc. It may affect their ability to respond immediately – please be patient•
